Re: Monitoring language

Effective immediately, all Onteora CSD contracts with outside vendors are to include the
following language:
The Contractor agrees to maintain all books, records, documents, and other evidence pertinent to
performance under this Purchase Order in accordance with generally accepted accounting principles.
The District, the New York State Education Department (NYSED), the Office of the State Comptroller
(OSC), and any other authorized representatives shall have access to and the right to examine, audit,
and copy any of the Contractor’s directly pertinent books, documents, papers, and records involving
transactions related to this Purchase Order for a period of six (6) years after final payment is made.
In addition, the Contractor agrees to comply with all applicable federal, state, and local laws, rules, and
regulations. The Contractor acknowledges that the District and state oversight agencies reserve the right
to monitor, evaluate, and inspect the Contractor's facilities, operations, and performance relative to the
goods or services provided under this Purchase Order. The Contractor must promptly furnish all
requested data and reports to support programmatic and financial compliance.
If funding for this Purchase Order originates from State or Federal grants, the Contractor agrees to
adhere to all applicable grant terms, including 2 CFR Part 200. Failure to maintain adequate
documentation or cooperate with compliance reviews constitutes a material breach of contract.
